Facility Management Software in India (2026): What FM Companies Should Actually Buy

Facility Management Software in India (2026): What FM Companies Should Actually Buy

Key takeaways

  • In 2026, Indian FM companies are not choosing “software vs no software.” They are choosing between enterprise CAFM, generic CMMS, field-service apps, and products built for multi-client FM operators.
  • Buy for the job path you run every day: complaint → technician → signed report → quotation. Everything else is a later module.
  • Seat-based pricing punishes you for hiring technicians. Site- and client-based pricing matches how FM contracts actually grow.
  • If go-live needs a consultant before ticket one, you are buying a project, not a portal. DWD FMS is the second kind.

Search “best facility management software in India” and you will land on campus IWMS platforms, CMMS tools born in US manufacturing, and field apps that track GPS more carefully than they track a client PDF.

Those products are not fake. They are built for different buyers. This guide is for the buyer we actually meet: a facility management company (or a serious in-house FM team) running several client sites, still coordinating on Excel and WhatsApp, and tired of being told the cure is a nine-month implementation.

First, name your shape

Write one sentence: We sell FM services to multiple clients, each with one or more sites, and our technicians must close work with evidence. If that is you, ignore feature lists aimed at “smart campuses” until the sentence above is software.

If you are a landlord running one IT park with a BMS team, enterprise CAFM may be the correct category. Do not force that purchase on a 40-technician contractor because the brochure said “AI.”

The four categories you will actually be offered

Category Typical buyer Strength Risk for an FM company
Enterprise IWMS / CAFM Campuses, large landlords, factories Depth: space, compliance, sometimes IoT Implementation time, cost, consultant dependence
Generic CMMS In-house maintenance Work orders and asset PM Weak multi-client model; often priced per seat
Field service / FSM Break-fix contractors Dispatch, GPS, invoicing May under-serve PPM, client reports, rate cards
FM operations portal (DWD FMS) FM companies with multiple clients and sites Complaints, mobile reports, PPM, quotations Not a full IWMS — and does not pretend to be one

Indian names you will see in the first two rows include campus-grade suites and newer CMMS players. Global names in CMMS and IWMS (Maximo-class, Planon-class, UpKeep-class) show up in tenders written by consultants. Use them as a map, not a shopping list.

The buying checklist that survives a demo

Ask every vendor to show these six motions with your sample data, not their golden tenant:

  1. Raise a complaint against Client A / Site 2 / HVAC, assign a technician, change status, and show the history was not overwritten.
  2. Close it on a phone with pre/post photos and a client signature, then show the PDF that landed in email.
  3. Build a quotation from a rate card that belongs to Client A, not a global price list you will misuse on Client B.
  4. Register an asset at that site and raise a PPM ticket against it.
  5. Log in as the client. They should see their world, not yours.
  6. Ask where the data lives. Shared tables with other tenants are a different risk than a dedicated database per organisation.

If step 1 takes a professional services ticket, believe that. DWD FMS is designed so signup creates the portal and you add companies, sites, and services immediately. Technicians use the same login on the mobile app.

Pricing: seats vs sites vs “custom”

Seat-based CMMS looks cheap until you hire the fourth technician. FM work is labour-heavy by nature. Punishing headcount is how you end up with shared logins, which is how audit trails die.

DWD FMS pricing scales on client companies and sites, not on how many technicians you hire. Published 2026 plans (annual, excluding GST):

  • Starter — ₹39,999/year: up to 3 client companies, 10 sites, 15 users. Complaints, mobile reports, assets, PPM, dedicated database.
  • Professional — ₹99,999/year: up to 10 companies, 40 sites, unlimited users. Adds client portal, quotations and rate cards, helpdesk and account-manager roles.
  • Business — ₹1,99,999/year: up to 30 companies, 150 sites, unlimited users. Adds surveys, branding on PDFs, priority support.
  • Enterprise — custom: unlimited companies and sites, white-label, API access.

Full breakdown: DWD pricing. Start with a free trial — no credit card — then pick a tier when you know your site count.

What you can skip in year one

  • IoT and predictive dashboards, unless a named client already has sensors you can plug in
  • Visitor management and canteen modules bundled to inflate a demo
  • Custom mobile apps per client before you have one report template that everyone uses
  • A data migration of every historic spreadsheet row. Migrate live work.

Year-one software should make Excel and WhatsApp unnecessary for complaints, ownership, reports, and PPM. Finance, HR, and CRM can wait — or sit beside FMS in the same Digital Work Desk suite when you are ready.

No credit card. Live in under a minute. Add one client, one site, one technician, and see whether the product matches the work you already do.

Trust questions (EEAT, without the jargon)

Software that will hold client complaints should be able to say, in public:

  • Who built it and who it is for (FM companies, not “everyone with a building”)
  • What is in production today vs on a roadmap slide
  • How tenants are isolated (DWD: dedicated database per organisation at signup)
  • How you get out: Excel export on complaints, PDFs the client already has
  • How you get help: in-app trial, or a booked demo if you want a walkthrough

Be wary of percentage claims (“95% SLA in 30 days”) unless they are from a named programme that looks like yours. We would rather you measure your own first month in a trial than borrow someone else’s statistic.

A 14-day evaluation plan

  1. Days 1–2: Create companies, sites, services, two technicians, one account manager.
  2. Days 3–5: Move this week’s live complaints off WhatsApp. Assign everything.
  3. Days 6–8: Close five jobs from the phone with photos and signatures. Email the PDFs to a friendly client or internally.
  4. Days 9–11: Import one rate card. Issue one quotation from a complaint.
  5. Days 12–14: Register ten assets at one site. Raise next month’s PPM tickets.

If those steps are painful, the product is wrong — or the vendor is selling you a project. If they are boring, you have found operations software.

Frequently asked questions

What is the best facility management software for small FM companies in India?

The best fit is the one that models clients and sites, lets technicians finish reports on a phone, and does not charge per extra technician. DWD FMS is built for that shape, with a free trial you can complete without a sales cycle.

Is DWD FMS a CAFM or a CMMS?

It is facility operations software for FM service companies: complaints, service reports, assets, PPM, quotations, and a technician app. It is not a full IWMS for space planning and energy. Choose CAFM if that is your actual job.

How fast can we go live?

Signup provisions a working portal in under a minute. Your first complaint can be logged the same morning. Data depth (assets, rate cards) follows in the first two weeks if you use the plan above.

Do we need a credit card to try it?

No. The FMS trial does not require a card. Book a demo only if you want a guided walkthrough with the team.

About this guide. Written by the Digital Work Desk team that builds and prices FMS for Indian FM companies. Feature claims map to shipped modules — complaints, reports, mobile, assets, PPM, quotations — not to a partner roadmap. Prices cited are the published annual INR list, exclusive of GST, as of September 2026. Always confirm on the pricing page.

If you already know your site count, skip the brochure war. and run the six motions with your own clients.
