Facility Management Software Pricing in India and the UAE: What You Really Pay in 2027
Short answer
Facility management software costs anywhere from about ₹39,999 (AED 1,670) a year for a site-priced product covering 10 sites, to ₹3 to ₹10 lakh (AED 13,000 to 43,000) a year for a 15-person team on per-user CMMS, to quoted enterprise CAFM contracts with separate implementation fees. The pricing model you pick matters more than the sticker price.
Most FM software vendors do not publish prices. You fill a form, wait for a call, sit through a demo, and get a PDF with a number that depends on how well the meeting went. We think that is a bad way to buy software, so we publish ours, and this guide shows the maths for the other models too.
All figures are list prices as of October 2026, excluding tax. AED amounts are converted at ₹24 = AED 1 and rounded, for comparison. Competitor prices come from their public pricing pages or third-party listings and change often.
The five ways facility management software is priced
1. Per user, per month
The most common model for global CMMS products. List prices usually sit between $20 and $65 per user per month, with AI assistants and advanced reporting often reserved for the top tier. It is simple to understand and cheap for a five-person team. For FM work, where headcount grows every time you win a contract, it gets expensive quickly, and it quietly encourages shared logins.
2. Per site or per client
You pay for the size of the portfolio you manage, and add as many technicians, supervisors and client users as you like. This matches how FM contracts grow: you win a client, you add sites, your headcount follows. DWD uses this model. So do some UK CAFM vendors, typically at £800 to £1,000 per site per year.
3. Per module
Helpdesk, PPM, assets, inventory, contractor management: each priced separately. Flexible, but the total is hard to predict, and the module you need in year two is never in the year-one budget.
4. Per square foot or per asset
Seen with some enterprise and IWMS vendors. Fair for landlords. Awkward for contractors, whose portfolio size changes with every tender.
5. Quoted enterprise licence
Typical for CAFM and IWMS suites sold into large organisations. The licence is negotiated, and implementation is usually a separate project. Third-party listings put platforms such as Facilio from around $10,000 (AED 36,700) a year, and enterprise suites well above that once implementation is included.
Worked examples: what a 15 and a 40 technician team really pay
Two FM companies we meet often. Prices are annual list prices excluding tax; per-user figures use the $20 and $65 ends of the typical range at ₹88 = $1.
Company A: 3 clients, 10 sites, 15 users
| Option | Year 1 (INR) | Year 1 (AED) | Three years (INR) |
|---|---|---|---|
| DWD Starter (site-priced) | ₹39,999 | AED 1,670 | ₹1,19,997 |
| Per-user CMMS at $20/user/month | ₹3,16,800 | AED 13,220 | ₹9,50,400 |
| Per-user CMMS at $65/user/month | ₹10,29,600 | AED 42,970 | ₹30,88,800 |
| Enterprise CAFM | Quoted. Usually not offered at this size. | ||
Company B: 10 clients, 40 sites, 40 users
| Option | Year 1 (INR) | Year 1 (AED) | Three years (INR) |
|---|---|---|---|
| DWD Professional (unlimited users) | ₹99,999 | AED 4,170 | ₹2,99,997 |
| Per-user CMMS at $20/user/month | ₹8,44,800 | AED 35,260 | ₹25,34,400 |
| Per-user CMMS at $65/user/month | ₹27,45,600 | AED 114,580 | ₹82,36,800 |
| Enterprise CAFM | Quoted licence plus implementation, often over several months | ||
Now add the thing every FM owner knows will happen: Company B wins two contracts and hires 20 more technicians. On per-user pricing the bill rises by half. On DWD Professional it does not change at all, and if the new contracts push you past 40 sites you add sites at ₹7,999 (about AED 330) each a year.
Why we price this way. When we looked at our own customers, the best-run FM companies were the ones where every technician, supervisor and client POC had their own login, because that is what makes the audit trail mean something. Per-user pricing punishes exactly that. So we charge for clients and sites and leave users unlimited from Professional up.

Hidden costs to ask every vendor about
- Implementation and configuration. For enterprise suites this can approach the first year's licence. Ask what you can do on day 30 without it.
- Data migration. Moving assets, sites and rate cards from Excel. Some vendors charge per record.
- Client user licences. If every client POC counts as a seat, a 30-client portfolio can double your bill.
- Mobile app access. Occasionally a separate licence for field users.
- Messaging. WhatsApp Business and SMS notifications carry per-message charges.
- API and integrations. Accounting, ERP or SSO connectors are often enterprise-only.
- AI. Several products keep their AI assistant on the top tier or charge per use.
- Support. "Premium support" with a real response time may cost extra.
- Exit. Ask what a full data export costs after you cancel. It should cost nothing.
GST, VAT and e-invoicing
India. Software subscriptions attract 18% GST. As a registered business you can usually claim it back as input tax credit, so for most FM companies the effective cost is the pre-tax figure.
UAE. VAT is 5%. The UAE is rolling out mandatory e-invoicing in phases from 2027, starting with larger businesses, so FM companies that bill clients from their FM software should check that invoices can flow through an accredited service provider. DWD invoices are built for this. Confirm the phase dates for your business with the UAE Ministry of Finance.
How to budget for three years
Ask every vendor for a three-year number that includes:
- Licence at your expected headcount, sites and clients in year three, not today
- Implementation, migration and training
- AI, messaging and integration charges
- The price increase cap, if any
Then set it against what the software should earn back: admin hours saved, extra work that finally gets billed, and penalties or disputes avoided. Our ROI calculator does that in INR or AED. If you are still choosing between categories, the buyer's guide and 40-point checklist will help you shortlist.

Frequently asked questions
How much does facility management software cost per month?
Per-user tools usually list at $20 to $65 per user per month, so a 15-person team pays roughly ₹26,000 to ₹86,000 (AED 1,100 to 3,600) a month. Site-priced products like DWD start at ₹39,999 a year (about AED 1,670) for up to 10 sites and 15 users, which works out near ₹3,300 a month billed annually.
What is the cost of facility management software in India?
Expect ₹40,000 to ₹2 lakh a year for a self-serve, site-priced product serving a small or mid-sized FM company, ₹3 to ₹30 lakh a year for per-user CMMS depending on headcount, and quoted enterprise CAFM or IWMS contracts that often include separate implementation fees. Add 18% GST to all of these.
How much does CAFM software cost in the UAE?
Enterprise CAFM in the UAE is usually quoted, and third-party listings put platforms such as Facilio from about $10,000 (AED 36,700) a year before implementation, and per-user CMMS for 40 technicians lands near AED 35,000 to 115,000 a year at list price. DWD works out at about AED 4,170 a year for 10 client companies, 40 sites and unlimited users. UAE VAT at 5% is added.
Is there free facility management software?
Some CMMS products have free plans with tight limits on users, assets or work orders, and spreadsheets are free in the sense that you do not pay a vendor. For a team serving paying clients, the cost of lost tickets and unsigned reports is usually higher than a paid plan. DWD offers a free trial with no card instead of a free tier.
What hidden costs should I budget for?
Implementation and data migration, training, extra modules, API or integration fees, per-user charges for client logins, SMS or WhatsApp message costs, premium support, and AI add-ons. Ask every vendor for a three-year quote that names each of these, including what happens to the price when you add 20 technicians.
